Keeping track of the IFTA figures (mileage and Fuel)

I've been looking at software for keeping track of the routes driven in each state. Was wanting to know how others are doing it.

Gary and his boys recommend using an envelope (6x9) that has the states printed on it. You can write your mileage in the spaces and keep  your all your receipts in one place.  If you PM me you email address, I can email a copy of the front and back of our version of it.  We modified it for our use.  It will give you a starting point anyway.

Our first qtrly filing is coming next month.  I called our State (FL) office to find out exactly what I needed to have record of.  She told me that you not only have to have the mileage traveled in each jurisdiction, but the routes of travel to the towns you pickup and drop off.  Not the small streets, just the major roads like I-75, Hwy331, SR3345, if we travel more than 10 miles on them.

She also told me that if you get audited, they may look at log books, BOLS, Rate Confirmation, etc to verify the travel.  The more information you take to the audit, the easier it will be and they will likely only spot-check some of your claims.

Lastly, you need to keep your records for 3 years.  I presume that is  for all jurisdictions, not just FL.  I scan all our receipts, BOLS, and Load Confirmations into a computer program we use for trucking but keep the envelopes also.
